Organization roles and permissions

3 min read · 438 words · 1 revision · Updated Sep 6, 2026

An organization has three roles, and what each can do is a fixed list. Nothing is configurable, so what an admin can do in one group is exactly what an admin can do in another.

The three roles

Owner. One per organization, always. The owner can do everything an admin can, plus set roles, transfer the organization and delete it.

Admin. Edits the profile, invites and removes members, sees the invite code, runs challenges and moderates the forum room.

Member. Posts in the room, joins challenges, sees the leaderboard and the member list, reports and blocks, and can leave.

A Loopa platform administrator is a fourth column in the same table. They can suspend an organization, list every organization and read the audit log. They are not a member of your group and hold no role in it.

What nobody can do

No role can see another member's health data. Not the owner, not an admin, not a platform administrator, and there is no setting that turns it on.

An organization is a room and a scoreboard. A leaderboard shows a total for a challenge somebody opted into, and nothing else crosses.

Exactly one owner

Enforced by the database, not by a check in the app. There is no arrangement in which an organization has two owners or none.

The owner cannot leave. They transfer the organization to somebody else, or they delete it. Leaving would strand the group with nobody able to run it, and the refusal says so.

Transferring is one action: the old owner becomes an admin and the new owner is promoted, in one step. You cannot promote a second owner first.

What costs Premium

Four things, all of them owner acts:

  • Creating an organization.
  • Promoting or demoting somebody.
  • Transferring ownership.
  • Deleting the organization.

Belonging is free. Joining, posting, challenges, the leaderboard and leaving cost nothing and always will.

Suspension

A platform administrator can suspend an organization. Suspended means readable but not postable: members can still open the room and read the notice explaining what happened.

A deleted organization is gone from every member's app.

The audit log

Role changes, transfers, removals and deletion are recorded. Only a Loopa platform administrator can read it, and it is kept for 90 days and then purged. That retention is stated in the privacy policy.

It survives the organization being deleted, because it is the only remaining record that the group existed.
